Employee contracts & policies

  • Compilation of employee contracts and policies for all new employees within the Group.
  • Issue of employee contracts and policies to all new employees within the Group
  • Collecting of all signed contracts and policies documents for all new employees within the Group.
  • Assistance to new employees regarding the completion of signing of contract and policies documents.
  • Communicate with Payroll regarding new employees and documentation pertaining to new employees from HR Assistant.
  • Compile a list of all new contracts issued and when Probation period is completed. Please advise the necessary HOD or SEM well in advance before the employee becomes permanent.
  • Maintain policies and procedures.
  • Compiling of Job Description as and when applicable.
  • Assist HR department with compiling of relevant contracts.


Administration of HR system

  • Loading new employees on HR system.
  • Transfer of employees on HR system.
  • Adding of new job Titles on HR system.
  • Full administration function of HR system.
  • Assisting in all queries form employees with regards to the HR system.
  • Communication with HR system provider to assist in support function.
  • Update all changes on the HR system.
  • Ensure all leave is administrated on the HR system.
  • Ensure information on the HR system is correct and completed.
  • Assist employees with any other relevant queries or concerns.



  • HR system needs to be updated simultaneously on a daily weekly and monthly basis.
  • HOD’s/SEMS need to be notified off any variances.
  • HR system needs to be updated on a daily and weekly basis in accordance with the Clock-In system.
  • Correct, complete and updated records must be available at all times.
  • Assisting all employees with any queries on the ESS system.
  • Sending activation emails to employees on the ESS system


Scanning and Filing


  • All the employee files needs to be maintained on a daily, weekly and monthly basis on the HR system and updated documents need to be scanned and attached under the correct staff member/category.
  • All new employee documents need to be added to the HR record keeping system.
  • Assist HR officers with scanning and Filing
  • Ensure store room is kept neat and tidy.


Industrial relations

  • Attend to relevant disciplinary steps if and when needed (counselling’s, written warnings and hearings)



  • Compile and submit all relevant payroll documents to the payroll department by the 20th of each month.
  • Ensure Pay out hand over sheet is compiled.
  • Ensure all relevant documentation is given to payroll.


Exit Process

  • Ensure exit proses is complete as well as check list with resignation of Head Office Employees
  • Ensure exit process file is kept up to date.
  • On the 28th of each month send out Exit Report to relevant departments. Add types of terminations on the Exit Report retrieve information from Payroll Handover Sheet and Termination emails.


Employment equity

  • Research and assistance in compiling Employment Equity reports once per year.


Skills Development

  • Assist and compile and submit relevant skills Development plans for entities specified
  • Print submission documents and file accordingly.
  • Ensure that all submission is done in accordance to deadline date from specific SETA.


Health and safety

  • Assistance in the development of the new health and safety system.
  • Assist with keeping Health and Safety file up to date.
  • Ensure meetings are conducted quarterly, as well as minutes of meetings are kept.


Clock In’s and Extension List

  • Ensure Extension list are up to date and correct.
  • Ensure clock in’s are sent out on a weekly basis.
  • Add new employees on the clock in system.
  • Remove employees when necessary.



  • Ensure Pro Task administration is done.
  • Updating the Protask Warning Report for all Protask Warning received by employees on a monthly basis.
  • Remove Pro Task warning when requested by Management.
  • Assisting all employees with warning related queries on the Protask system.
  • Following up with the management if employee is receiving too many Protask warnings.
  • Assist with Induction admin as requested.
  • Compiling of Induction manuals.
  • Ensure that the extension list is kept up to date on a weekly basis.
  • All other tasks allocated by HOD/SEM or Director.
  • Assistance with all other tasks, developed by the HR department.
